Consultation Form Information

Consultation requests may be collected through third-party form technology, including Jotform. Information submitted through a consultation request may be reviewed by North Axis Group for the purpose of understanding the organization, reviewing the nature of the inquiry, evaluating the professional considerations involved, and determining appropriate next steps.

A consultation form may ask the submitter to confirm their authority to communicate for the organization identified in the request. North Axis Group uses that confirmation to screen, document, and respond to the submission.

Business and Communication Purposes

Information collected by North Axis Group may be used for legitimate business purposes, including:

Examples of business platforms that may be used by North Axis Group include Jotform, Zapier, Microsoft 365 and Outlook, and other comparable software or service providers selected to support business operations.

These providers may receive, transmit, store, or otherwise process information where reasonably necessary to perform the service North Axis Group has elected to use. Their handling of information is also governed by their own applicable privacy notices, contractual terms, security practices, and service configurations.

The use of a third-party business platform does not mean that North Axis Group is selling client, prospect, or personal information to that provider. Rather, information may be processed through such providers as part of the operational service they supply.

When Information May Be Disclosed

North Axis Group does not sell or rent personal information for monetary consideration and does not intentionally disclose client or prospect information to third parties for their own independent direct-marketing purposes.

Information may be disclosed to software providers, contractors, professional service providers, or other authorized third parties where reasonably necessary to operate the business, administer systems, process communications, provide requested services, support legitimate business functions, or carry out an authorized engagement.

Information may also be disclosed where reasonably necessary to protect legal rights or security, investigate misuse or fraud, comply with applicable law, satisfy contractual or insurance obligations, respond to lawful governmental or regulatory requests, or otherwise protect legitimate business interests.

North Axis Group seeks to limit third-party access to information to what is reasonably connected to the business purpose for which the provider, disclosure, or professional relationship is used.

North Axis Group does not treat client or prospect information as a commercial asset for sale. Third-party software and service providers may process information in connection with services used by or on behalf of North Axis Group. Their processing remains subject to applicable agreements, service configurations, and the provider’s own privacy and security practices.

07 — Information Security

Protecting Information

North Axis Group uses administrative, technical, and operational safeguards that it considers reasonable and appropriate to the nature of the information and the size and scope of its operations. These safeguards are intended to reduce the risk of unauthorized access, misuse, loss, alteration, or disclosure.

No internet transmission, electronic storage system, software platform, or digital communication method can be guaranteed to be completely secure.

Organizational or personnel information should only be submitted where the sender is authorized to disclose it.

Sensitive Information & Secure Channels

North Axis Group does not request Social Security numbers, government-issued identification numbers, usernames, passwords, banking credentials, bank-account or routing numbers, payment-card details, or protected health information through its public website forms, ordinary email, social media, text messages, or consumer payment applications.

If information of a sensitive financial nature is required for an authorized business transaction, North Axis Group will direct the client to the designated accounting or payment platform identified in official onboarding or invoicing materials. Clients should not transmit that information through any other channel.

Security-Incident Notification

If North Axis Group confirms that a security breach involving personal information maintained by or on behalf of the firm affected an individual or organization, North Axis Group will provide notice without unreasonable delay and as required by applicable law, subject to any lawful delay requested by law enforcement.

A notice will describe, to the extent reasonably known at the time, the nature of the incident, the categories and scope of information reasonably believed to have been accessed or acquired, measures taken in response, and recommended steps the affected recipient may take. Because incident investigations may evolve, an initial notice may not identify the exact information involved. North Axis Group may provide additional information when material findings become available or when required by law.

08 — Data Retention

How Long Information May Be Maintained

North Axis Group may retain information for as long as reasonably necessary to respond to inquiries, evaluate potential engagements, maintain business records, support ongoing professional relationships, satisfy contractual or insurance obligations, resolve disputes, protect legitimate business interests, and comply with applicable legal or recordkeeping requirements.

Information maintained through third-party software or service providers may also be subject to the retention, deletion, backup, or archival practices of those providers.

When information is no longer reasonably required, North Axis Group may delete, de-identify, or archive it consistent with applicable obligations, internal procedures, and the technical capabilities of the systems involved.

External Websites and Services

The North Axis Group website may contain links to independently operated third-party websites, platforms, forms, or services. When a visitor follows an external link, information collected by that service is handled under the service's own privacy notice and practices, rather than this Privacy Policy.

Business-Focused Website

North Axis Group provides business-to-business and professional advisory services. Its website and consultation process are not directed to children under 13, and the firm does not knowingly solicit personal information from children under 13.
